Job Title: Patient Coordinator (Reception & Administration)
Location (and UK region): Newbury, Berkshire
The Briars Dental Centre is a well-established, 7-surgery private dental practice in the heart of Newbury. We are looking for a capable, organised and detail-focused Patient Coordinator to join our team.
This role is not solely front of house. While welcoming and supporting patients is an important part of the position, a significant proportion of the role involves administration, systems work, and accurate data handling. This is a key operational and compliance‑critical role within the practice.
THE ROLE
As a Patient Coordinator, you will help ensure the smooth day-to-day running of the practice by balancing patient interaction with essential administrative responsibilities.
Patient-facing responsibilities:
- Welcoming patients and providing a calm, professional first point of contact
- Managing phone calls, emails, and appointment enquiries
- Booking, amending and coordinating appointments
- Communicating clearly and professionally with patients and the clinical team
Administration responsibilities (a substantial part of the role):
- Maintaining accurate patient records and appointment data
- Handling confidential and sensitive information in line with GDPR
- Using practice management systems confidently and accurately
- Supporting clinicians and management with administrative tasks
- Following established processes and adapting to new systems and ways of working
- Spotting errors, correcting them promptly, and escalating where needed
WHAT WE’RE LOOKING FOR

- Has a consistent work history and can demonstrate reliability and strong attendance
- Communicates clearly in writing without reliance on AI tools for routine communication
Customer service experience is essential. Experience in dental or healthcare is helpful but not essential — the right mindset and capability are more important than industry background.
IMPORTANT TO NOTE
This role involves:
- A high level of administration and computer‑based work
- Daily handling of confidential patient information
- Multitasking, prioritisation, and working to deadlines
- Working within a busy, multi-surgery clinical environment (7 surgeries)
